Name someone who can approve the work
Give the provider a reliable contact who can discuss findings and authorize any agreed changes. Clarify the initial assessment charge and how further work will be priced. An unanswered approval question can delay the job even when the provider is on site.
Explain the operating limits
Identify the affected areas, occupied spaces, and times when access or a water shutdown is possible. Tell the provider what the system serves and confirm what they can accommodate. Don't treat a submitted request as confirmation of a particular arrival or completion time.
Share the equipment history
Have model details, earlier repairs, and maintenance records ready. Specialist equipment may require additional qualifications or another trade. Ask the provider to confirm that the proposed visit covers the actual installation, rather than assuming every commercial plumbing job is the same.
Keep a usable completion record
Ask what was found, what was done, and how operation was checked. Record follow-up recommendations separately from completed work. Those notes help future maintenance decisions, but they don't guarantee the system won't develop another problem.
